Office Administrator

The Office Administrator is the linchpin of the company supporting the Head of Operations, Commercial Director and Chief Executive. Providing support to each member of staff within the Company as and when required whilst performing ongoing administrative duties. The Office Administrator should have a high level of attention to detail, enthusiasm and the ability to multitask. The position requires a team player who also has the capability to use their own initiative.

 

This is a home working role, 22.5 – 30 hours per week to be agreed with the successful candidate on appointment, worked flexibly over 4-5 days per week, £17,500 – £20,000 pro rata depending on experience.

 

Primary Responsibilities

  • Update and monitor data on Hubspot; adding new vets, newsletter subscribers, game farms, shoots, agents
  • Liaise with auditors on incoming or departing shoots or game farms
  • Answering the office mainline number and directing calls and taking messages as necessary
  • Responding to website enquiries then allocating to correct member of staff
  • Perform accounting tasks, including invoicing and inputting incoming payments
  • Schedule meetings and travel arrangements for members of the company
  • Monitor and compile a weekly press report
  • Responsible for shoot renewals for Associate Members and Agents
  • Monitoring and purchasing office supplies
  • Managing incoming letters, magazine cuttings and general office filing
  • Monitor and reorder any Company collateral as required
  • Assist with Marketing including uploading recipes to website, sharing images with press and assisting with social media
  • Ensuring that health and safety policies are up to date
  • Updating the website as per instruction, understanding of WooCommerce desired
  • Compiling the monthly newsletter with instruction from Head of Operations
  • Provide administrative support for the operations team, commercial team and shoot membership team

 

The Person

  • Good communication skills, including written as well as spoken communication – a friendly and warm style
  • Discreet, with ability to manage sensitive data in a confidential and appropriate manner
  • Organised and proactive approach to managing tasks and priorities with the ability to self-manage workload
  • Methodical and able to meet agreed deadlines
  • Flexible approach to changing circumstances, prepared to re-order priorities when required
  • Proven ability to work well in a team environment, proactive in offering help to others
  • High level of accuracy and attention to detail
  • Up to date Microsoft Office skills, in particular Excel, PowerPoint and Word
  • Experienced, confident and accurate approach to using Databases
  • Experience with WordPress and Hubspot desirable
